All students participate in our End of Year Concert and students work on these routines each week in class, developing their skills in the process and learning the importance of rehearsal, commitment, performance techniques and teamwork.

In terms of attendance, it is very important that students try not miss any of their scheduled classes between now and concert time so they can spend their rehearsal time together to perform their routines, feel confident and look amazing. Of course, this is only if it can’t be helped. If for any reason your child will miss a number of their regular classes in Term 4, we ask that you contact us to let us know in advance.

CONCERT FEE

A concert fee of $160 per student will be payable. There are discounts applied for families with multiple children. This will be invoiced mid Term 3 and will be run in installments over 10 weeks through autopay to help with budgeting. We will communicate when this is due to commence.

The concert fee covers rehearsal participation, provides all families with a copy of the concert video from both shows, contributes to student trophies which all students receive and new in 2026 your official ICONIC Concert Tshirt.

Please note: There are no additional fees payable for End of Year costumes are these are already all included in your weekly all-inclusive class fees! Costumes are yours to keep.

CONCERT MEMORABILIA

VIDEOS

We engage the services of a Professional Videographer. All parents will receive a digital download of the concerts included as a part of your concert performers fee. All parents will be emailed with a unique log in which will enable you to view and download the concert videos at home.

Theatre Rehearsals

There are no regular classes during Concert Week. These classes are replaced by our scheduled theatre rehearsals, giving students the opportunity to practise their routines onstage and become familiar with the theatre before Concert Day. As regular classes will not run, the weekly direct debit and invoice run for class fees will not be processed during Concert Week.

Location

The theatre is located on Station St, Waratah.

No costumes, hair or makeup are required for these rehearsals. Please treat the rehearsal as though students are attending their regular dance classes—their class will simply be held at the theatre instead of the studio.

Students should wear their BDS studio uniform or plain black clothing, with their hair tied back wherever possible. Having students dressed uniformly helps our teachers review formations, spacing and final preparations clearly while they are onstage.

Parent Access and Sign-In

Please note that parents and caregivers are not permitted inside the theatre or backstage during rehearsals.

On arrival, please bring your child to the sign-in desk. A member of the BDS team will sign them in and assist them in moving safely into the theatre. Students will also be signed out at the conclusion of their scheduled rehearsal time.

Some rehearsal times overlap for students who participate in additional styles. Please check all relevant times carefully.

Tuesday 17 November

4:30pm–5:30pm - Preschool Groovers

Wednesday 18 November

4:30pm–7:00pm - Mini Movers, Youngstars and Juniors — all locations

6:30pm–7:30pm - Junior Cheer, Junior Acro, Junior Ballet and Aerial — all locations

Theatre rehearsals are an important part of our final concert preparations. Please ensure students arrive on time and are ready to rehearse so we can make the most of their allocated time onstage.

CONCERT DAY PROCEDURES

DROP OFF & PICK UP

On concert day, all of the students will be staying backstage with us for the duration of the concert. Students need to have their hair and makeup done and stockings on before being dropped off. Students are required to arrive 45mins before their show time.

During the dropping off times, we ask that one parent/guardian comes with their child into the drop off area (you will be directed once inside the venue). Students will have their name marked off and be taken backstage by a member of staff.

At the conclusion of the performance, we ask 1 parent or guardian to remain inside the theatre and students will be brought to the stage for collection by age group.

If you have any questions please do not hesitate to ask us. We will ensure that we talk you through the concert day procedure again in the weeks leading up to the concert.

SECURITY & STUDENT SAFETY

As always, the safety of our dance family is our #1 priority. On concert day all students will need to be signed in / out of security lists to gain access backstage. All backstage helpers will be issued with security passes that are required to be worn at all times. Only Beats Dance Studio staff and registered parent helpers are permitted backstage. We are unable to run messages or food to students, so please make sure they have everything before they come backstage for rehearsal and the concert. There will be a someone at the door for the entire day checking passes. We do this to protect the students, please respect this policy. Please try not to bring anything valuable, especially electronic devices. Our studio will take no responsibility if an item is damaged, misplaced, lost or stolen.

MEDICAL CONDITIONS

If your child has any Medical Conditions that may require attention whilst in our care or are carrying any medication with them, please notify our supervisors when you sign in.

WHAT TO WEAR AND BRING

WHAT TO WEAR

Costumes will be handed out in Term 4 and are yours to keep. There are no additional fees payable for End of Year costumes are these are already all included in your weekly all-inclusive class fees!

We recommend wearing your Beats uniform or dressing gown over the top for protection while coming to the venue to ensure they do not get dirty.

Please bring all other costumes with you. A plastic tub or washing basket actually makes a great storage option and provides ease of access on concert day.

FINALE

In 2026, students will wear their ICONIC Concert T-shirt for the finale paired with your own black pants.

This will help students have their belongings packed up before the finale and enable a prompt exit from the theatre at the conclusion of the show.

BDS staff and backstage helpers will assist young students changing.

UNDERWEAR

Please be aware that under stage lights, dark coloured or patterned underwear does not look good under light coloured costumes. Please make sure your child is wearing flesh coloured underwear.

Dancers will require a slick high pony for all styles except ballet.

WHAT TO BRING

FOOD & DRINK

Please also be aware there are students at BDS with peanut or gluten allergies, so please ask children not to share food (our helpers will keep eye on this also)

PACKING CHECKLIST

It is suggested that students bring all of their belongings in a small plastic box. It is much easier than rummaging through a bag. Please write their names all over the box and on everything that they bring, every year we have so many pairs of dance shoes and uniforms lost that are never claimed. Please use the following checklist:

Stockings and dance underwear (wear on arrival)

BDS concert tshirt (wear on arrival over the top of costume and for finale)

Shoes

Makeup for touch-ups

Extra bobby pins, safety pins, hair spray, elastics

Water, water and more water

Students may want to bring a small quiet game, book or something to keep them amused.
